VerumLink, Inc. ("VerumLink," "we," "our," or "us") operates the VerumLink mobile application, website widget, and related services (collectively, the "Services"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
Account Information
When you create a citizen account, we collect your name, email address, and password (stored as a secure hash). If you register using Google Sign-In or Sign in with Apple, we receive your name and email from those providers. You may also optionally provide a profile photo.
Voice Submissions
When you submit a voice (praise or complaint), we collect the information you provide: the type and category of the interaction, a description, the date and time of the incident, the department or agency involved, officer details if provided, your GPS coordinates or the address you enter to identify the location, and any photos or media you choose to attach. This information is shared with the relevant law enforcement agency.
Location Data
With your permission, we access your device’s location to help you find nearby agencies and to accurately record the location of an incident. We do not track your location continuously or in the background.
Device and Push Notification Data
If you enable push notifications, we collect your device’s Firebase Cloud Messaging (FCM) token and associate it with your account. We use this token only to deliver notifications about your voice submissions. If the token becomes invalid (e.g., you uninstall the app), it is automatically removed from our systems.
Usage and Technical Data
We collect standard technical information including your IP address, device type, operating system, and app version to operate and improve the Services. This data is not linked to your identity for marketing purposes.
2. How We Use Your Information
- To create and manage your account
- To submit and track your voices with the relevant agency
- To send you notifications (email or push) about updates to your voices, based on your notification preferences
- To allow law enforcement agencies to receive, review, and respond to feedback submitted about their department
- To verify your identity and secure your account
- To improve the Services and diagnose technical issues
- To comply with legal obligations
We do not sell your personal information to third parties. We do not use your information for targeted advertising.
3. How We Share Your Information
With Law Enforcement Agencies
When you submit a voice, the contents of that submission — including your description, incident details, media, and contact information — are shared with the law enforcement agency the voice is directed to. Agency staff can view and respond to your submission through the VerumLink dashboard.
Service Providers
We use the following third-party service providers to operate the Services:
- Amazon Web Services (AWS) — cloud hosting, database, file storage, and email delivery (SES)
- Google Firebase — push notification delivery (FCM)
- Google Maps — address search and location display within the app
- Google reCAPTCHA — spam protection on public submission forms
- Google / Apple — when you choose to sign in using those identity providers
These providers access your data only to perform services on our behalf and are bound by their own privacy policies.
Legal Requirements
We may disclose information if required by law, court order, or to protect the safety, rights, or property of VerumLink, our users, or the public.
4. Notification Preferences
You can control email and push notification preferences within the app’s settings. Disabling a notification type will prevent us from sending those communications to you. Note that transactional emails directly related to your account security (e.g., password reset) are always sent regardless of preferences.
5. Data Retention
We retain your account information and voice submissions for as long as your account is active or as needed to operate the Services. If you delete your account, your personal profile information is removed. Voice submissions may be retained in an anonymized or de-identified form for record-keeping purposes.
6. Your Rights and Choices
- Access and correction: You can view and update your profile information within the app.
- Account deletion: You can request deletion of your account and associated data at verumlink.com/delete-account.
- Notification preferences: Manage push and email preferences in the app’s Settings screen.
- Data requests: To request a copy of your personal data or ask questions about how it is used, contact us at privacy@verumlink.com.
7. Children’s Privacy
The Services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
8. Security
We use industry-standard security measures including encrypted data transmission (TLS/HTTPS), hashed passwords, and access controls to protect your information. No system is completely secure; we cannot guarantee absolute security but take reasonable steps to protect your data.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top. If changes are material, we will notify you via the app or email. Your continued use of the Services after changes are posted constitutes acceptance of the updated policy.
